Faculty Process for Approving Courses for Study Abroad

Faculty and academic advisors play a very important role in not only preparing students to study abroad but also with encouraging students to go and even setting up new programs.

In order to provide some general guidance for approving courses to be taken abroad along with a history of approved courses, follow the Approving Courses for Study Abroad Process. We have also included a link to the student instructions for your information.

We have also provided a comprehensive “active” list of the college’s international exchanges. This information identifies the type of program and active terms that students can study abroad. If you are interested in setting up an exchange, please review the “Establishing a New Program” guidelines.

Students studying abroad are required to obtain course approvals from their departments and College prior to departure. Students in the College of ACES may study abroad (or participate in an international activity) from 1-2 weeks to an academic year. Following are general rules/procedures for students looking to obtain course approvals of courses they are taking abroad. Detailed instructions are also provided and given to the students when obtaining these approvals. Students are required to meet with their advisor prior to studying abroad.

Previously Approved / Taken Courses

There are a large number of courses (2500+) that have been taken by students who have studied abroad during a summer, semester, or academic year. These courses have been reviewed by faculty and staff across campus and are approved for various usage from open electives, degree and general education requirements.

For a listing of previously approved and taken study abroad courses, log in to the study abroad course database at My.ACES Portal . This section will provide you information on courses that have been approved for study abroad. Please read directions carefully.

Faculty/advisors will also have an opportunity to make comments or notes on specific courses on this site.

General Rules in completing the Course Approval Summary Form (CASF)
  • Courses students would like to use for gen-ed's must be signed off by department offering course (typically history/soc/econ, etc.) and the syllabus must accompany the course approval form for Dean Lee to approve.
  • Courses taken abroad will be transferred back with grades, following a conversion based on an established credit and grade conversion scale. Grades will appear on the host school transcripts. Up to two courses per semester and one course during the summer can be taken as credit/no credit. Campus policies and deadlines apply. Students need to notify the Director of Education Abroad prior to the midpoint of the Illinois term.
  • Students may study abroad during their last semester at Illinois, however graduation in the term is not possible in most cases.
  • CASF forms submitted by the students will be considered incomplete if each line approval has not been signed and the bottom of the form has not been signed.
  • No signature is required in the line approval for courses that have been previously approved and that fall in the following guidelines.
    • Courses that have been approved as an Illinois Equivalent Course or a level equivalent only (i.e. ACE 3--), by the specific department offering the course, i.e., ACES, ANSC, Econ, Math, etc. can be used as that UIUC course by all ACES majors.
    • General Education courses must have approval by Dean Lee if an existing direct articulation does not exist in the course approval database.
